Multiple Calendars

At present, i'm in charge of arranging work for a dozen engineers and I use an old A3 diary to pre-book their work which is handy because at a glance, anyone can look at the diary page and see them all listed horizontally and their allocated workload, below is an example: -

Engineer I Eng1 I Eng2 I Eng3 I Eng4 I
Monday I Job1 I Job5 I Job6 I Job8 I
Tuesday I Job2 I Job7 I Job12 I Job8 I
Wed I Job3 I Job9 I Job11 I Job8 I
Thurs I Job4 I Job10I Job8 I Job8 I

(the I's are meant to be inline but the editer on here won't allow it)

Moving on, the engineers have now been given Samsung Galaxy tablets to use out in the field so I want to update the way that their workload is recorded, is there a calendar that I can setup an individual calendar for each user, but have a view on mine (or another PC based at my work) that I can look at which will list them all, similar to the above?

The plan is that on a daily basis, I will manually sync the diary on my PC with their tablet calendar the day before so that they know exactly what they're doing, but I don't want them seeing what the other engineers are up to either so it has to be individual?

Bit of an ask i'm sure but there must be something out there?

Cheers.

Do you want them to be able to edit the calendar, or just you? Because if its just you and they are just meant to view, just make a separate Google Calendar for each engineer on your account, and send them links to subscribe to a specific calendar meant for each engineer alone. Once they subscribe to that Google Calendar and enable it on their tabs, it will show up there.

They are to view them only, and i've tried the multiple calendar thing that you suggested but I can't view them at once?
Each Google calendar can be set for view only in the calendar's share properties.

You can view as many or as few calendars as you want by selecting calendars in view properties.

Where do I find this option?

As you can see on the screen grab a couple of messages back, all I can see is one calendar?

The only way of differentiating between the engineers is that their events are of a different colour.

I don't remember exactly, but it isn't hard to find. Fish around a bit and you'll find them.

AFAIK that is correct. On the calendar view each calendar will have a different color but not a name.

Here's what you need to do. In YOUR Google account, set up all the calendars for the various Engineers. There is a settings option that is accessed by pulling down the arrow next to "My Calendars." Go into the setting page and each calendar that you have created will be shown in a list. You can choose to show each of the calendars on your calendar on that page. This is also where you choose to share the calendar with someone else. You have sharing options to allow them to view only or edit or add only. Once you have shared the calendar, they should be able to see it from whatever calendar app they are using on the tablets. They have to go in and tell their calendar app to show your shared calendar.

My family uses this strategy. I have a work calendar, my wife has one, my daughter has a personal calendar as does my son and we, as a family, have a calendar. We put personal stuff on our individual calendars, but they are shared so that everyone can see everyone else's schedule. The family calendar is shared to everyone with full privileges. All our phones, etc. are set up to see all of the calendars. We find it very useful and it helps avoid all kinds of conflicts.

Hope this helps,

BigRedGonzo - Cheers, i've had a play and got my head around that, now, from their point of view, is there a calendar app that will only sync a certain period (ie - 1 x week or 2 x weeks) so that if I book them some work in three weeks time at some hell hole or other, they don't get to know about it until the week before?

I've downloaded a few calendar app's but they sync the whole calendar and there's no option for selective sync periods?

I don't think such an app exists. What you can do is set up another calendar which is not synced to the workers. You put the future hell hole events in that calendar and the workers cannot see it. When the time comes you edit the event to switch it to the appropriate worker calendar.

You could also just use your own calendar, and set a reminder like "update Engineer 1's calendar for hellhole project" alongside funpig's suggestion so you won't forget.

Also, If you want a desktop program to use instead of the web based Gmail calendar, check out Pimlical from pimlicosoftware.com

I do not use their Android app, but the desktop software they sell is absolutely top notch.. A little learning curve for sure, but you can manage many many Google calendars with ease.
